Basically one needs to organize your daily assignments as first thing in the morning before you start with other work in office. First prioritize the work and ensure the work environment you are in clean and tidy as working in messy condition is non productive. File your work on a daily basis. Set aside 30 minutes in a day exclusively for filing and do not miss this schedule.
How do you take care of small and tiny details in you assignments?
When you start your assignments in detail ensure you look at all small and tiny details. If you find any small or big issues to be addressed keep a stick note near your work area as those issues to be addressed. Ensure that is addressed and hence your assignment is completed effectively with no flaws.
How do you handle a boss who has given assignments without complete instructions?
When you are given with an assignment without complete instructions. Firstly go though the entire assignment and understand what is given and then go back to the boss to ask more clarity about the same in a very diplomatic way. Ensure your boss is free when you approach him for more clarity.
How do you manage to complete your objectives in given time?
One should prioritize work and give a name to the prioritized work like A B C D. This will help to complete the work in time and also one should be aware when the work should be completed as per the given time. Plan your action item and work accordingly.
How much rewriting and reworking you do when working on a particular assignment or a proposal?
Understanding work is important aspect of an administrative job. So when work is analyzed and done not much of rewriting and reworking is involved. Sometimes when review or feedback comes from client or a customer, rewriting is done and completed.
What format or letter you have handled and you are familiar with?
Mention the type of letter formats you come across and have mainly drafted the letter. You can mention letter formats like Business letter, Cover letter, Purchase order letter, Grade letters, Reference letters etc. explain on one letter which you are very familiar with and show as an example.
What is your update on the technology and how often you update to meet up industry standards?
You should be very comfortable in working on MS office and also mention about few computer skills which you are known about and you have upgraded yourself over a period of time. Mainly explain how comfortable you are working on MS word and Excel.
Mention that how much ownership you take as a part of communication team and how well you organize on doing the memo’s and letter. Also give few examples on how well you drafted a memo and was circulated through out and how were you successful in doing the same.

How do you handle work pressure?
Usually people tend to get panic and will not be able to handle work properly when working under pressure. One should know the personal limits you have on working. Have a positive attitude on the work and the completion of the work which you will be able to handle. You also have to make realize that you are not the only supreme in the organization and take all the pressure and to complete the work. Always say that you are very clear on the work load you have. If more work given to you ensure your adaptability is good and you are capable to complete the given work.
How comfortable you are in working with MS office?
MS office is the software which we use on a daily basis. For letters and other format MS word is used and MS excel for mainly reports. Also PowerPoint is used to prepare company presentations. On a daily basis to access emails one uses MS Outlook.
What type of things in an organization should be kept confidential?
Confidentiality is referred as the property of ensuring few internal information to be accessible only to management and have a precautionary measures to have no access on unauthorized disclosure of sensitive information to unauthorized individuals in the organizations.
Did you happen to have a conflict with your manager? If so how did you handle it and what was the outcome?
Explain about the conflict you happen to have with your manager. Explain the instance that happened and also explain how you were right bit still this conflict happened. Also mention on the areas and back ups you had to ensure you were right though the conflict happened. If you were not correct when conflicts rose explain as to how you were able to solve the issue with a positive note.
How do you plan your deadlines?
When any planning is done there is a famous phenomenon on work culture as “Deadline first, plan second” This is too common when one is in project deliverables. Planning of anything is done based on the deadline given. So explain how you plan your deliverables and execute accordingly and maintain the deadlines.
How do you handle if you are asked more questions regarding confidential information?
If any unauthorized individual asks a question you answer them saying this information is management related and cannot be disclosed due to certain level of confidentiality which has to be maintained in the organization.
What are the challenges you faced when you reached outsiders for new collaboration?
When collaboration with an outsider happens between the organizations one will face a challenge in answering various types of questions which will be asked by collaborators. This information should be correct and valid to the point as you will be responsible on company’s image.
